1.    Is StaffSoft Training Worth Your Time?

You bet it is!  New StaffSoft users enjoy our training because it cuts down on the struggle and guess-work when learning new software.  Also, they are able to enter their data in correctly the first time without having to spend hours and/or days "fixing" what they did wrong before training. Existing customers who are familiar with StaffSoft like the way we show them a bevy of features and easier ways to accomplish their daily tasks.

2.    Mini Training Moment - Is Contact Manager F11 or F12?

Both!  Each command responds differently. 

F11 opens Contact Manager defaulting the filters to show you the person or company that was open when the command was executed.  Use the filters at the top to drill down the information or contact record you are seeking.

F12 immediately opens a New Contact (Add a Contact Record) screen with empty fields so you can specify the person(s) or client(s) the record will be associated with.

For full instructions on using the new Contact Manager screens, refer to manual addendum sent with the StaffSoft 3.606 Update. 

Review of Contact Manager:  This function is built to hold ongoing interaction notes between the recruiters / sales personnel and a client, applicant, or both.  Summit Software strongly recommends that the ‘Notes’ area in a module’s main screen be reserved for general notes pertinent to that record.  Recording notes about phone calls, visits, letters, and e-mails should always be placed in the Contact Manager!

  A.  Where do you get the quotes at the bottom of your main web page?

That was a fun project, a different quote every day!  We asked all the Summit Software Team Members to give us their favorites.  You’ll find a variety of cute, sarcastic, thought provoking, and ones that cause you to scratch your head and say "Huh?"  We still get submittals and would love to consider yours! 

  B.  How do we enter someone's career history before they were with us?

In the Applicant module, click on More>Career History.  Once in the module, choose Add and a blank record is ready for you to place in the information.

4.      Administrator’s Utility Review - Form Letters From The Utilities Menu 

Often I’m asked in a training why the Form Letters option is repeated in the Utilities menu.  To review, the Form Letters option in the modules allows the creation of a letter for the record currently in view.  But what if there were a need to send a letter about promotions, sales literature, seasonal cards, clients past due notices, or even interview confirmations?  It is not necessary to find each record individually through the Utilities> Form Letters option!

 Example A:      Referral promotion to all Applicants:

          1.      Enter the Utilities>Form Letter menu.

          2.      Select the Set up button, then the Add Template button

          3.      Choose the "Letter to:" Applicants.

          4.      Name the Letter Template and   Create the Letter.

          5.      Click Test and then Save.

          6.      Choose your new template from the "Letter categories" area.

          7.      Click the Letter button.

      Continue working with the results as with any Form Letter!

 Example B:      Outstanding Invoice notices if you Invoice within StaffSoft:

          1.      Enter the Utilities>Form Letter menu.

          2.      Choose to "Send letter to:" Clients.

          3.      Choose the "Letter Categories" as Reminder - Overdue Account.

          4.      Change the "From" date to the first of this month.

          5.      Click Letter.

      In the upper right hand corner will be a count of the clients with outstanding balances and a letter created for each!

 Imagine the time saved on bulk send outs!
