1. Shameless Commerce Division - September 11, 2001

We here at Summit Software are miles and miles away. We watched the TV and

followed the news like everyone else in the United State's. Our deepest

thoughts and condolences go to everyone throughout the nation who is

affected directly or indirectly by the tragic events on September 11th.

We felt so helpless wishing we could do so much more! Did you feel

like us? Deciding that doing the BEST job we can, here, at home,

and everywhere was the answer to helping the USA rebuild.

 

A few StaffSoft clients in New York City still remain without telephone

long distance service. As they persevere to continue doing business

(using cellular phones and the internet) you can rely on our team at

Summit Software to continue offering a great level of customer service and

assistance to see you through the difficult times.

2. Mini Training Moment - Make a note field larger than life!

A client called with the following idea, "Make the note fields,

especially the one in Applicants, enlargeable!"

 

"We DO that!" The rest of the conversation was humorous jabbing

about her team's need for training.

 

Setting aside my assumption EVERYONE knew this, here we go:

 

Any notes field within StaffSoft can be enlarged:

    1. The record MUST be in edit mode.

    2. Place the curser inside the note field you wish to edit.

    3. Click the F10 key on your keyboard.

 

Want to make it full screen? Use the expand box in the upper right corner.

 

Spell Check? Only in expansion mode - click the Microsoft standard F7 key.

 

Search within the note field? - Only in expansion mode - Click <Ctrl F>

to open the search option.

3. Commonly Asked Questions -

- "In Quick Search, where do the FIELD names come from?"

Each field available for data input in a Module is listed inside the

Quick Search FIELD area for the Module (Applicants, Clients, Sourcing,

Job Order) chosen to search. A few items may not be activated in your

company's setup, but this does not diminish the powerful use of this

very comprehensive tool.

- "What is the difference between FALL OFF and CLEAR ASSIGNMENT?"

Nothing! They do the same job, which is to remove the candidate off the

job as if they were never placed. The 'resume sent' and 'send out screen'

information remains, but the placement is wiped clean!

 

To find these screens go to the Job Order Candidate's screen.

    * For a Direct Hire (Permanent) Job Order click the Fall Off button on

the lower right.

    * For a Temporary / Contract placement, Click End Assignment. The last

option is Clear Assignment.

4. Administrator's Utility Review - Eliminating Empty Spaces

Everyone has clicked in a field and started typing leaving empty space we call

'Leading Space' before the words they type. Normally, that's okay. But in

the instance of a name or address, it will cause the field to run out of

alphabetical order and skew search results.

 

Never fear! StaffSoft has a utility to swiftly eliminate these troublesome

spaces.

 

Schedule this process when everyone is logged out of StaffSoft and remains so.

    1. Main Menu

    2. Utilities

    3. System Tools

    4. Trim Leading Space on Quick Search files

    5. Click Proceed

    6. Let run completely

As with many utility options, do NOT attempt to stop the process once it has

begun. How long it takes is dependent on the size of the complete database.

5. Manager's Moment - Version 4 Beta Site Test Story -

In this market when every job order is like "GOLD" I thought you'd like to hear

about this. The attached story is true and the situation happened to the owner

of this established direct hire business.

 

Before we release a new StaffSoft version for distribution we run it through

the testing mill. Our testing site called Roni (Sales Director) three weeks

ago telling her how phenomenal StaffSoft Version 4 was and how he had just made

a placement and netted $20k with barely any effort ! ? We were interested!

His story goes like this:

 

Every month from his client and sourcing database he sends everyone a short note

asking if they have any requirements. He e-mails them from within StaffSoft and

he has about 700 in the Houston area alone. His point to us was he couldn't

possibly phone all these people every month. He said that even if he did, people

seldom answer voice mail. When he first started doing this the response wasn't

very good, but now (6 months in) he gets an 80% response rate, even if it's just

to say they have no vacancies.

 

Last week he heard from a prospective client from whom he had never had a job order.

He ran a search on StaffSoft and found 31 potential candidates, e-mailed the whole

candidate list from within the StaffSoft Job Order (NEW Version 4 feature which

allows you to do just that), and received 18 positive responses from the applicants

he e-mailed. Sending the best 6 resumes to the client, from those he set up 3

interviews and one was hired. All in less than a week.

Net result $20k to his company as commission!

 

As a Recruiter (capital 'R') reading this story you know, and I can vouch for, this

individual has worked to build a relationship with the perspective client and candidates. You may not get such an instant success, but this one chance in

500 happening makes you think of the possibilities...
